Administration Assistant (Trips & Visits)

Are you a highly organised administrator with excellent attention to detail and a passion for supporting young people?

We are seeking an enthusiastic and proactive Administration Assistant (Trips & Visits) to join our busy administration team.

This is a highly rewarding role that offers the opportunity to make a real difference to students' educational experiences. You will play a key role in coordinating educational visits, residential trips, sporting fixtures and enrichment activities, ensuring students benefit from safe, memorable and well-organised opportunities beyond the classroom.

About the Role

As the Administration Assistant (Trips & Visits), you will take responsibility for the administration and co-ordination of all school trips and visits across the Secondary Phase.

Working closely with trip leaders, senior leaders, finance colleagues and parents/carers, you will ensure that all trips are efficiently planned, compliant with relevant procedures and delivered successfully.

Alongside trips administration, you will provide general administrative support to the school office, helping to maintain an efficient, welcoming and professional service for staff, students, parents and visitors.

What You’ll Be Doing

In this role you will:

  • Co-ordinate overseas trips, UK residential visits, day trips, sporting fixtures and enrichment activities.
  • Obtain quotations and arrange bookings for transport, accommodation and venues.
  • Manage trip documentation and approval processes.
  • Liaise effectively with staff, parents/carers and external providers.
  • Set up and monitor trip payments, ensuring timely communication regarding payment deadlines.
  • Maintain accurate records using Evolve, Bromcom and other school systems.
  • Prepare trip packs, emergency information and supporting documentation.
  • Assist with reception and wider administrative duties when required.
  • Provide first aid support following appropriate training.
  • Contribute to a positive, professional and student-focused administrative service.

What We’re Looking For

We are looking for someone who:

  • Has GCSEs (or equivalent) in English and Maths.
  • Has experience working in an administrative or receptionist role.
  • Is confident using Microsoft Word and Excel and other IT systems.
  • Has excellent organisational and communication skills.
  • Can manage multiple priorities and work accurately under pressure.
  • Is proactive, adaptable and able to work on their own initiative.
  • Enjoys working as part of a close and supportive team.
  • Understands the importance of confidentiality and professionalism.
  • Brings a positive attitude, flexibility and a willingness to contribute to wider school life.

Working Hours

9:30am to 4:00pm (Monday to Friday) with a 30-minute un-paid lunch break

30 hours per week, term time plus 3 INSET training days

Salary - Administration Assistant (Grade 6)

Full-time salary (52 weeks) from £27,273 to £29,541 per annum

Term-time salary (30 hours per week/term time plus 3 days) from £18,743 to £20,301 per annum
